Standing Job Descriptions

Standing jobs carry over from year to year until such time as the volunteer notifies the Board that they wish to step down. Members are recruited by the Board under the leadership of the Vice-President to fill standing jobs as they become open.

Standing Jobs List

Webmaster

Purpose

Maintain the SLOBC public and member websites.

Tasks

  • Involve others in the development, maintenance and updating of the sites
  • Maintain the underlying HTML, CSS, Java Script, etc. code for the websites
  • Add content and update pages as needed, appropriate or requested:
    Monthly ride calendar and newsletter
    Wildflower and Lighthouse
    Volunteering
  • Administer, moderate and create content for the slobc.org blog web page
  • Maintain the club membership database
  • Send emails as appropriate to club members

Skills Required

  • Experience with email, word processing, spreadsheet and social media software
  • Experience with Dreamweaver, Photoshop and Illustrator software
  • Basic HTML and CSS programming skills

Communications Administrator

Purpose

Implement, administer, moderate, create content for and provide access to social media and email accounts used by the club (e.g., Constant Contact, Facebook, Instagram, email@slobc.org, email@yahoogroups.com, email@googlegroups.com, etc.).

Tasks

  • Provide administrative access and assign administrative responsibilities to other members in consultation with the Board
  • Add and remove members as content creators in consultation with the Board
  • Maintain records of user names and passwords for accounts
  • Maintain records of members with access to or responsibility for each account
  • Train members in the use of communication tools
  • Assist content creators in the design of communications
  • Create formats as needed or requested
  • Create and add content as needed or requested
  • Create, edit and delete email groups
  • Assist members in joining or unsubscribing from email groups
  • Moderate email groups to ensure appropriate membership and usage

Skills Required

  • Experience with email, word processing, spreadsheet and social media software
  • Experience with Photoshop or other image editing software

Ride Chairs

Purpose

Lead the planning, goal setting, organization and administration of his/her event.

Chair Tasks

  • Review captain reports from past ride
  • Meet with the SLOBC Board to review and analyze previous event income and expenses and make financial decisions affecting for the next event: registration fees; clothing prices; BBQ and food; volunteer recognition elements; promotional giveaways.
  • Develop a Staffing Plan (organizational structure of captains and volunteers) and oversee the volunteer recruitment processes.
  • Establish the volunteer recognition elements for each job.
  • Recruit job positions needed for early planning.
  • Identify positions that require assistants to be mentored for assumption of that role in the future.
  • Hold meetings with Rest Stop Captains and Food Purchasing to plan ride theme and food as desired.
  • Work with captains to establish needed team positions
  • Communicate final Staffing Plan to Webmaster so volunteer information and sign-up web pages and database can be prepared for the volunteer process.
  • Establish captain report content guidelines
  • Assist/support captains as required
  • Do community outreach and coordination to engage the public, State and municipalities or designate club volunteers to represent the club
  • Accept or delegate duties unplanned or unforeseen

Clothing Coordinator

Purpose

To oversee the design and production of clothing (e.g., jerseys, T-shirts) and promotional items (e.g., patches) for the Wildflower and Lighthouse Centuries and other club needs (e.g., membership, special events, etc.).

Tasks

  • Shall be appointed by the President in consultation with the Board, and should make all reasonable efforts to allow the appointment of a successor at least ten months prior to the next Wildflower or Lighthouse ride.
  • May solicit other club members to assist in carrying out the position’s assigned duties.
  • Oversee the solicitation, selection, design, ordering, production, and delivery of all cycling clothing, t-shirts and promotional items needed by the club.
  • Establish a common format and requirements for the creation and presentation of jersey design alternatives
  • Provide members an opportunity to vote on jersey design alternatives
  • Work with the designer of the preferred alternative to prepare the design for submittal to Voler.
  • Develop or oversee the development of Wildflower and Lighthouse Century T-shirt and promotional items (e.g., patch) to reflect the essence of the selected jersey design.
  • Oversee the management of clothing purchased through the Members website. Go to Clothing Management for process notes.

Insurance

Purpose

Function as the SLOBC insurance liaison and administrator of the club's insurance policies

Tasks

  • Administer the "Errors and Omissions" or "Directors and Officers" (D &O) policy that provides financial protection for the Board and it's members as well as the Club. Renew the policy each year.
  • Administer the liability and medical policy that covers Club members and riders on Club sponsored rides. Renew the policy each year.
  • Obtain other Certificates on request as needed.
  • Obtain insurance certificates for the Wildflower and Lighthouse Centuries to cover the other agencies and businesses involved in putting on the rides
  • Provided the certificates to the appropriate contact person at each agency as directed by the Permits Captain

Skills Required

  • Insurance experience

Refreshments Coordinator

Purpose

Provide coffee and refreshments at club meetings.

Tasks

  • Coordinate with Programs and At-Large board members for meeting needs
  • Setup drink and food tables as needed
  • Solicit for volunteers to bring food as needed
  • Keeping a list of those who volunteer to bring food and call them before the meeting
  • Clean up after the meeting and put everything away

Financial Reviewer

Purpose

Perform an annual review of the club's financial records.

Tasks

  • Verify that club assets, revenues, and expenses have been accounted for properly.
  • Report the results of the review and any recommended improvements in controls and procedures to the Board of Directors.

Volunteer of the Month

Purpose

Recognize SLOBC members whose volunteering deserves recognition for its "over and above" service to the club.

Tasks

  • Solicit and provide ways for club members to submit nominations
  • Select a recipient from the nominations each month except January. The President's awards will be highlighted in the newsletter in January by others.
  • Prepare a writeup of the selected volunteer
  • Take or attain a photo of the volunteer
  • Submit the writeup and photo to the newsletter editor
  • Purchase and deliver a gift certificate to the member

Adopt-A-Highway Coordinator

Purpose

Clean the adopted section of Ontario Road from Johnson Ranch to San Luis Bay Drive.

Coordinator Tasks

  • Coordinate with county highway agency
  • Publish and announce work sessions to recruit workers
  • Bring safety vests, bags and coffee and snacks to the start

Skills Required

  • Experience with email, word processing, spreadsheet and social media software

Volunteer Tasks

  • Arrive at 8:30 AM on the day specified at the Johnson Ranch parking area
  • Bring gloves, shovels, rakes, and brooms
  • Pickup and bag trash

Sunshine Committee

Purpose

Spread "sunshine" to club members and their families when they are injured or ill.

Tasks

  • Send bicycle or cheery cards
  • Send flowers or plants
  • Provide gift certificates (e.g., movies, books, tea, restaurant, etc.)
  • Send money to an organization of the person's choice as directed by the Board
