Other SLOBC Volunteer Job Descriptions
The following are short descriptions of the duties volunteer for jobs not related to our two event rides or board members.
Clothing Coordinator
Purpose
Recognizing that there is an ongoing need by the SLOBC for someone to oversee the production of clothing (Jerseys, T-shirts, patches, etc.) for the Wildflower and Lighthouse Centuries and other club needs (e.g., membership, special events, etc.) the SLOBC hereby establishes the standing position of Clothing Coordinator.
Tasks
- The Clothing Coordinator shall be appointed by the President in consultation with the Board, and should make all reasonable efforts to allow the appointment of a successor at least ten months prior to the next Wildflower or Lighthouse ride.
- The Clothing Coordinator may solicit other club members to assist in carrying out the position’s assigned duties.
- The Clothing Coordinator shall oversee the solicitation, selection, design, production, ordering and delivery of all Jerseys, T-shirts, patches, etc. needed by the club.
- The Clothing Coordinator shall meet the following timeline for Wildflower and Lighthouse clothing:

- The Clothing Coordinator shall establish a common format and requirements for the creation and presentation of design proposals, solicit design proposals from members and others, and present the design alternatives at a club meeting from which members present will choose the final design.
Club Picnic
There is a picnic folder with more information about all these tasks, but the information here should be sufficient for you to understand the scop of the jobs

- Advertise the event in the newsletter

| Food Purchasing |
Single person who purchases food. Picnic folder contains an inventory of what was purchesed in earlier years. May want to adapt the list based upon the preferences of the cooking crew (food preparation). |

Crew to prepare the tables (table cloths, etc.) and set out the food. |

This crew will BBQ the food. In the past this has been done by Leonard Marks. |
| Games / Prizes |
Design some interesting games and purchse prizes to be handed out to the winners of the games. A typical budget is about $200 for a collection of $5-10 prizes. Folder has some game suggestions from the past |

Crew to cleanup the picnic area and return it to the state it was in when we arrived |
Ride Group Coordinators
Purpose
The Ride Coordinators develop the monthly ride schedule for their ride.
Tasks
- Getting individuals to volunteer for each date
- Getting their name, phone number, and the starting location for the ride.
- Turned this list into the club's Ride Coordinator (by the 14th of the month) so the monthly schedule can be published in our newsletter and made available online at our website.

- Monday, Wednesday and Friday Rambler/Scramblers
Sunshine Ladies
Purpose
Spread some "sunshine" to club members and their families when they are injured or ill.
Tasks
- Send bicycle cards or Cheery cards
- Send flowers or plants.
- Sometimes event make up gift certificates for a person who loves movies, or books or tea or a restaurant..
- May send money to Hospice or other organization of the person's choice..
Farmer's Market Advocate
Purpose
Promote the club at the SLO Farmer's Market
Tasks
- Setup a booth on the third Thursday of each month at the San Luis Obispo Farmer's Market.
- Inform visitors about the bike club, provide them with information (newsletters, brochures, etc) about the club, and invite them to join and participate in club activities.
- This is one of the most visible public faces of the club, so "if you don't like people and or don't like to promote the club don't do it"
Webmaster
Purpose
Maintain the club's website.
Tasks
- Post news articles, photo galleries, etc. as they occur
- Update the ride calendar monthly
- Update the newsletter monthly
- Update the current meetings monthly
- Update the Wildflower and Lighthouse pages annually – plus some dynamic changes when registration opens and the ride gets full .
- Changes are to follow the presentation guidelines for the site.
Club Email
- Read and respond to the email message sent to our club's email address.
- Sometimes, the appropriate action will be to forward the messages to others in the club to provide responses.
- You also send out announcements to everyone in our notification database letting them know about registering for our two annual events.
Email Group Coordinator
Purpose
The club uses yahoo's group email service to set up email groups which permit broadcasting email messages to the members of the group.
Tasks
- Add, edit and delete the yahoo group account for each group
- Assist members to join or quit the groups
- Monitor the group in an effort to limit membership to club members and that it is being used appropriately.
Club "Hotline" Phone
Purpose
Answer the club's phone in an effort to help people with questions about the club.
Tasks
- Answer the bicycle club phone all hours of the day and sometimes night.
- Call people back when they leave a number.
- Answer questions about our rides, about cycling in the area, about bicycle shops, and more.
- Update the recorded message to give important information -- mostly about our big rides.
- When on vacation, get someone else to come in and check the phone or put a message on the phone answer machine to have the caller call someone else.
Insurance and Permits
Refreshments Coordinator
- Prepare the coffee service at our club meetings (which requires bringing two crates, two pots, an urn of coffee, and one of hot water).
- Two tables are then setup with refreshments, napkins, plates, cups and electrical for heating the readied coffee.
- The refreshments are brought by volunteers solicited by the coordinator at our meeting.
- This is done by keeping the list of those who volunteer to bring food and we calling them days before the meeting.
- The final task is to clean up after the meeting and put everything away.
Newcomer's Group
Meeting Greeter
When you are a Greeter, you will arrive early to the meeting (around 6:30 PM) and be given a package of pens and nametags by the President. You'll then set up "office" at the entrance to the meeting and hand out nametags to the members as they arrive. You'll ask if the arriving guests are new members or visitors and give those guests different colored nametags. If there is more than one greeter, one can take new members and guests and introduce them to other members to help them enjoy the social period before the meeting.
